About the Role
We are looking for a Property Management Specialist to support leasing, compliance, and back-office operations. You will maintain accurate records, update property data, and ensure workflows are completed correctly across PropertyMe and related systems. This is a strictly back-office role with no tenant or owner communication.
Ideal Candidate (Must-Have Requirements)
- Experience in property management admin or willingness to learn structured property management workflows
- Exposure using PropertyMe or similar systems
- Preferably with exposure to leasing admin, compliance, or trust accounting
- Competent in Microsoft 365
- Strong attention to detail and data accuracy
- Comfortable working with task-based systems and processes
- Strong organisational skills and the ability to manage multiple tasks
- Ability to follow instructions and work independently
- Strong written English communication skills
- Amenable working onsite
Tasks and Responsibilities
- Generate draft lease agreements for approved applicants
- Prepare bond lodgments and create tenant profiles
- Send welcome emails to new tenants
- Maintain and update property, tenant, and owner records in PropertyMe and SharePoint
- Update lease details, rent amounts, and bond information
- Draft lease renewals and management authorities
- Manage DocuSign workflows, including follow-ups and filing signed documents
- Send strata notices and breach notices as instructed
- Send inspection notices and tenant reminders
- Enter and allocate supplier invoices and match to jobs
- Track compliance records (smoke alarms, RCDs, insurance, pool safety)
- Upload certificates and monitor expiry dates
- Run monthly reports for renewals, expiries, and vacancies
- Support new business by entering leads and preparing proposals in Vault RE
- Ensure all records and workflows remain accurate and up to date

Most of our clients are in Australia, so most roles follow a PH time day shift work schedule.
Most clients follow standard business days (Monday to Friday), so VAP follows a weekend rest day schedule.
You’ll follow your client’s AU public holidays. This means you’ll work on PH holidays but with PH holiday premium pay.
Holiday Break: We offer a 2-week paid holiday break from Christmas to New Year. If your client requests you to work during this time and you agree, you’ll receive Rest Day overtime pay.
Yes, we provide both vacation and sick leave. Vacation leave is not convertible to cash, as we encourage work-life balance and want our staff to enjoy their time off. Unused vacation leave carries over to the next year.
We offer sign-on bonuses occasionally, depending on the role. Yes, these are taxable.
