About the Role
The PMO Specialist (PMO Expert) is responsible for supporting project management operations, ensuring projects are planned, tracked, and executed efficiently. This role monitors timelines, manages documentation, facilitates reporting, and supports project managers to ensure alignment with business objectives and delivery standards.
Ideal Candidate (Must-Have Requirements)
- With years of experience supporting project management or PMO functions
- Strong knowledge of project management principles, frameworks, and methodologies
- Experience with project tracking, reporting, and risk management
- Familiarity with PM tools such as Monday.com, Asana, Jira, Trello, MS Project, or Smartsheet
- Proficient in Microsoft Office or Google Workspace for reporting and documentation
- Excellent organisational, communication, and stakeholder management skills
- Ability to manage multiple projects and priorities independently
- Comfortable preparing dashboards, status reports, and presentations for leadership
- Highly analytical, detail-oriented, and proactive in identifying risks or bottlenecks
- Experience in process improvement or project governance is advantageous
Tasks and Responsibilities
- Maintain project schedules, plans, and status reports
- Track project deliverables, milestones, and key performance indicators
- Support project managers in documentation, reporting, and compliance requirements
- Identify project risks and escalate appropriately
- Facilitate project meetings, take minutes, and follow up on action items
- Ensure standardised processes, templates, and project documentation are maintained
- Support cross-functional teams to improve project execution and alignment
- Prepare executive-level project summaries and dashboards
- Analyse project performance and provide insights for decision-making.

No, as a stable internet connection is a non-negotiable requirement. However, we offer a competitive salary package above market rate, and our offices remain open for staff experiencing internet or electricity issues.
Yes, we provide HMO coverage.
Most of our clients are in Australia, so most roles follow a PH time day shift work schedule.
Most clients follow standard business days (Monday to Friday), so VAP follows a weekend rest day schedule.
You’ll follow your client’s AU public holidays. This means you’ll work on PH holidays but with PH holiday premium pay.
Holiday Break: We offer a 2-week paid holiday break from Christmas to New Year. If your client requests you to work during this time and you agree, you’ll receive Rest Day overtime pay.
Yes, we provide both vacation and sick leave. Vacation leave is not convertible to cash, as we encourage work-life balance and want our staff to enjoy their time off. Unused vacation leave carries over to the next year.
We offer sign-on bonuses occasionally, depending on the role. Yes, these are taxable.
