PMO Specialist (Contractual)

About the Role

The PMO Specialist (PMO Expert) is responsible for supporting project management operations, ensuring projects are planned, tracked, and executed efficiently. This role monitors timelines, manages documentation, facilitates reporting, and supports project managers to ensure alignment with business objectives and delivery standards.

Ideal Candidate (Must-Have Requirements)

  • With years of experience supporting project management or PMO functions
  • Strong knowledge of project management principles, frameworks, and methodologies
  • Experience with project tracking, reporting, and risk management
  • Familiarity with PM tools such as Monday.com, Asana, Jira, Trello, MS Project, or Smartsheet
  • Proficient in Microsoft Office or Google Workspace for reporting and documentation
  • Excellent organisational, communication, and stakeholder management skills
  • Ability to manage multiple projects and priorities independently
  • Comfortable preparing dashboards, status reports, and presentations for leadership
  • Highly analytical, detail-oriented, and proactive in identifying risks or bottlenecks
  • Experience in process improvement or project governance is advantageous

Tasks and Responsibilities

  • Maintain project schedules, plans, and status reports
  • Track project deliverables, milestones, and key performance indicators
  • Support project managers in documentation, reporting, and compliance requirements
  • Identify project risks and escalate appropriately
  • Facilitate project meetings, take minutes, and follow up on action items
  • Ensure standardised processes, templates, and project documentation are maintained
  • Support cross-functional teams to improve project execution and alignment
  • Prepare executive-level project summaries and dashboards
  • Analyse project performance and provide insights for decision-making.
