About the Role
We are looking for a proactive and detail-oriented HR Onboarding Specialist to manage onboarding coordination, pre-employment requirements, documentation, orientation support, and HR administrative tasks. This role plays a key part in ensuring new hires have a smooth and positive onboarding experience while maintaining compliance with company processes and standards.
Ideal Candidate (Must Have Requirements)
- Graduate of Psychology, Human Resource Management, or related course
- Experience in onboarding, HR administration, or HR operations
- Experience handling end-to-end onboarding processes
- Knowledgeable in HR documentation and employee records management
- Familiarity with HRIS and employee data management
- Strong organisational and coordination skills
- Excellent written and verbal English communication skills
- Strong interpersonal and employee support skills
- Highly organised, detail-oriented, and adaptable
- Proficient in Microsoft Office and HR systems/tools
- Amenable to work in our Cebu site: IT Park, Cebu City
Tasks and Responsibilities
- Facilitate the end-to-end onboarding process for newly hired employees and contractors.
- Ensure completion and accuracy of all pre-employment and onboarding requirements.
- Coordinate with all stakeholders for smooth employee onboarding.
- Prepare and issue onboarding documents such as contracts, policies, confidentiality agreements, and government forms, etc.
- Conduct new hire orientation sessions and company onboarding presentations.
- Guide new hires through company policies, culture, code of conduct, and compliance requirements.
- Monitor onboarding timelines and ensure all onboarding milestones are completed on schedule.
- Coordinate asset requests (if necessary) and system access setup with the IT and Facilities teams.
- Maintain and update employee records in our system and onboarding trackers.
- Address new hire concerns, onboarding inquiries, and provide ongoing support during the onboarding period.
- Ensure compliance with labour laws, company policies, and internal onboarding standards.
- Track onboarding metrics and provide reports on onboarding completion, attendance, and employee readiness.
- Collaborate with department heads to improve onboarding processes and employee experience.
- Assist in document verification and pre-employment screening when needed.
- Support employee engagement initiatives.
- Ensure a positive and professional first-day experience for all new hires.
- Handle onboarding communications, including welcome emails, schedules, and reminders.
- Monitor HMO enrollment and deletion requests, ensuring timely processing and accurate updating of employee and dependent records.
- Coordinate with HMO providers regarding member enrollment, card issuance, deletions, and benefit concerns.
- Maintain tracking of HMO cards, employee eligibility, and dependent documentation to ensure compliance with company policies and provider requirements.
- Escalate onboarding issues, delays, compliance concerns, and HMO-related discrepancies to HR leadership when necessary.
- Assist with offboarding or employee movement documentation when assigned.

Most of our clients are in Australia, so most roles follow a PH time day shift work schedule.
Most clients follow standard business days (Monday to Friday), so VAP follows a weekend rest day schedule.
You’ll follow your client’s AU public holidays. This means you’ll work on PH holidays but with PH holiday premium pay.
Holiday Break: We offer a 2-week paid holiday break from Christmas to New Year. If your client requests you to work during this time and you agree, you’ll receive Rest Day overtime pay.
Yes, we provide both vacation and sick leave. Vacation leave is not convertible to cash, as we encourage work-life balance and want our staff to enjoy their time off. Unused vacation leave carries over to the next year.
