Australian Accounting Admin Specialist - ASIC

About the Role
We are looking for an experienced Australian Accounting Admin Specialist (AU Accounting Admin) to join a growing Australian accounting firm. In this role, you will primarily support ASIC compliance, company secretarial functions, and corporate governance administration while ensuring company records and compliance obligations remain accurate and up to date.
You will also provide administrative support for Self Managed Super Fund (SMSF) clients, assist with client documentation and corporate records, and work closely with the accounting team to deliver efficient, high-quality administrative support across a range of Australian accounting services.
Ideal Candidate (Must-Have Requirements)
- Solid experience supporting an Australian accounting, bookkeeping, business advisory, corporate services, or SMSF administration firm
- Hands-on experience with ASIC administration, company registrations, annual reviews, and corporate compliance
- Experience supporting company secretarial and corporate governance activities
- Exposure to SMSF administration, documentation, or client coordination
- Strong understanding of Australian company structures and ASIC requirements
- Experience preparing and lodging ASIC forms and maintaining statutory registers
- Strong organisational skills with excellent attention to detail
- Excellent written and verbal English communication skills
- Ability to manage competing deadlines and multiple client portfolios
- Proficient in Microsoft Office and Google Workspace
- Experience with CAS 360, NowInfinity, BGL Corporate Compliance, BGL Simple Fund 360, Class Super, or similar platforms is highly regarded
- Exposure to Australian accounting workflows, Xero Practice Manager, FYI Docs, Karbon, APS, or similar practice management systems is advantageous
- With a conducive workspace at home.
Tasks and Responsibilities
- Manage ASIC lodgements, company registrations, annual reviews, and compliance deadlines
- Prepare company secretarial documents, including resolutions, minutes, and statutory records
- Maintain corporate registers, governance records, and compliance documentation
- Support company incorporations, trust establishments, and corporate administration activities
- Assist with SMSF administration, client documentation, and trustee-related processes
- Coordinate client communications, document collection, and electronic signing
- Maintain accurate client records, workflow systems, and digital filing
- Support accountants with compliance administration and client correspondence
- Monitor compliance obligations and follow up on outstanding approvals and documentation
- Contribute to process improvements and provide general administrative support as required

Most of our clients are in Australia, so most roles follow a PH time day shift work schedule.
Most clients follow standard business days (Monday to Friday), so VAP follows a weekend rest day schedule.
You’ll follow your client’s AU public holidays. This means you’ll work on PH holidays but with PH holiday premium pay.
Holiday Break: We offer a 2-week paid holiday break from Christmas to New Year. If your client requests you to work during this time and you agree, you’ll receive Rest Day overtime pay.
Yes, we provide both vacation and sick leave. Vacation leave is not convertible to cash, as we encourage work-life balance and want our staff to enjoy their time off. Unused vacation leave carries over to the next year.
We offer sign-on bonuses occasionally, depending on the role. Yes, these are taxable.
