About the Role
The Real Estate Administrator is responsible for supporting property transactions, listings, and day-to-day agency operations. This role ensures contracts, compliance documents, marketing materials, and CRM records are accurate and up to date while coordinating with agents, clients, solicitors, and other stakeholders to keep deals moving smoothly from listing to settlement.
Ideal Candidate (Must Have Requirements)
- With years of experience in real estate administration or property support
- Experience supporting real estate agencies both local and international is highly regarded
- Familiarity with CRM systems such as Agentbox, PropertyMe, VaultRE, Salesforce, or similar
- Strong understanding of the property sales or leasing process
- High attention to detail, particularly with contracts and compliance documentation
- Confident communicating with agents, clients, brokers, and solicitors
- Strong written and verbal English communication skills
- Proficient in Microsoft Office or Google Workspace
- Experience preparing listings, uploading properties to portals, and coordinating marketing materials is advantageous
- Ability to manage multiple files and deadlines simultaneously
- Highly organised, proactive, and able to independently
Tasks and Responsibilities
- Prepare and manage contracts, agreements, and listing documentation
- Upload and maintain property listings across online portals
- Coordinate marketing materials, including brochures, signboards, and online ads
- Maintain and update CRM records and client databases
- Liaise with solicitors, brokers, buyers, sellers, landlords, and tenants
- Track transaction progress from listing through to settlement
- Ensure compliance documentation is complete and properly filed
- Manage calendars, appointments, and property inspections
- Provide general administrative support to agents and leadership.

Most of our clients are in Australia, so most roles follow a PH time day shift work schedule.
Most clients follow standard business days (Monday to Friday), so VAP follows a weekend rest day schedule.
You’ll follow your client’s AU public holidays. This means you’ll work on PH holidays but with PH holiday premium pay.
Holiday Break: We offer a 2-week paid holiday break from Christmas to New Year. If your client requests you to work during this time and you agree, you’ll receive Rest Day overtime pay.
Yes, we provide both vacation and sick leave. Vacation leave is not convertible to cash, as we encourage work-life balance and want our staff to enjoy their time off. Unused vacation leave carries over to the next year.
We offer sign-on bonuses occasionally, depending on the role. Yes, these are taxable.
