About the Role
The Australian Migration Case Manager manages visa applications end-to-end, guiding clients through each stage, ensuring submission readiness, mitigating risks, and collaborating with Consultants and RMAs to deliver compliant, high-quality applications while supporting junior team members.
Ideal Candidate (Must Have Requirements)
- Proven experience managing Australian visa applications end-to-end
- Strong experience handling employer-sponsored visas such as Subclass 482 and 186
- Experience handling complex visa categories, including General Skilled Migration, Partner Visas, 400, 408, 407, and 600 visas
- Strong understanding of Department of Home Affairs processes and documentation requirements
- Experience reviewing supporting evidence such as financial documents, employment records, and qualifications
- Experience in identifying application risks such as employment gaps, refusals, or inconsistencies and resolving them proactively
- Experience using migration or case management systems such as Migration Manager, ImmiAccount, or similar platforms
- Comfortable using modern productivity and AI tools such as ChatGPT, Claude, or similar for drafting and research
- Familiarity with ANZSCO classifications and skills assessment bodies such as VETASSESS
- Experience mentoring or guiding junior team members, such as Migration Assistants
- Ability to manage multiple visa cases independently while meeting strict deadlines and SLAs
- Strong written and verbal English communication skills
- Proven ability to manage client relationships professionally and confidently
- High level of accountability, organisation, and attention to detail
Tasks and Responsibilities
- Act as the primary point of contact for allocated cases and guide clients through requirements, timelines, and next steps
- Respond to client enquiries and provide timely updates in line with SLAs
- Track case progress using Smartsheet and internal tools to ensure milestones are met
- Identify risks early and take proactive action to prevent delays or issues
- Review client data, questionnaires, and supporting documents to identify gaps or inconsistencies
- Determine additional documentation required to strengthen applications
- Review outputs of Migration Assistants for accuracy, quality, and completeness
- Prepare and review visa applications, supporting documents, and submission materials
- Draft employment documents and coordinate approvals with RMAs where required
- Complete and review applications in ImmiAccount and related platforms
- Conduct final pre-lodgment checks to ensure accuracy and compliance
- Escalate complex or high-risk cases to Consultants or RMAs and implement the guidance provided
- Assign tasks to Migration Assistants and provide feedback to improve quality and consistency
- Support the development of junior team members through mentoring and coaching
- Maintain accurate case records and ensure compliance with migration regulations and internal standards
- Stay updated on changes in Australian migration policies and incorporate them into case handling

Yes, we provide HMO coverage.
Most of our clients are in Australia, so most roles follow a PH time day shift work schedule.
Most clients follow standard business days (Monday to Friday), so VAP follows a weekend rest day schedule.
You’ll follow your client’s AU public holidays. This means you’ll work on PH holidays but with PH holiday premium pay.
Holiday Break: We offer a 2-week paid holiday break from Christmas to New Year. If your client requests you to work during this time and you agree, you’ll receive Rest Day overtime pay.
Yes, we provide both vacation and sick leave. Vacation leave is not convertible to cash, as we encourage work-life balance and want our staff to enjoy their time off. Unused vacation leave carries over to the next year.
We offer sign-on bonuses occasionally, depending on the role. Yes, these are taxable.
