Australian Accounting Specialist (Xero)

About the Role

We are looking for an Australian Accounting Admin (Accounting Specialist) to support the day-to-day operations of an Australian accounting firm. This role involves managing workflows, client communication, ASIC and ATO administration, document handling, and general accounting administration support.

You will work closely with accountants and internal teams to ensure jobs are tracked, completed, and lodged accurately and on time.

Ideal Candidate (Must-Have Requirements)

  • Proven admin experience within an Australian public practice accounting firm
  • Strong understanding of Australian accounting and tax compliance workflows
  • Experience with Xero, XPM, or similar accounting systems is highly preferred
  • Experience handling client communication and administrative coordination
  • Ability to manage deadlines and multiple workflows independently
  • Strong attention to detail and organisational skills
  • Professional phone and email communication skills
  • Strong problem-solving and relationship-building skills
  • Preferably with ASIC administration or ATO liaison experience
  • Preferably with a customer service or accounting support background
  • Strong understanding of confidentiality and professional conduct
  • With a conducive home-workspace.

Tasks and Responsibilities

  • Manage workflows, jobs, and daily follow-ups
  • Handle client calls, emails, and appointment coordination
  • Maintain and update client records in Xero and XPM
  • Create jobs, fee agreements, and payment arrangements
  • Support onboarding of new clients and ATO portal updates
  • Upload, scan, and organise tax and compliance documents
  • Follow up with clients for outstanding information and signatures
  • Liaise with ATO, ASIC, and third parties as required
  • Support lodgements, payments, and compliance tracking
  • Assist with general office administration and reporting tasks
